Advanced Cohorts for Version 3.7
Step 1. Log in as Site Administrator and select Site Administration
Step 2. Select the Users tab
Step 3. Scroll down the page and select the link Advanced Cohorts
Step 4. To add a new cohort, select the Create new button
Step 5. Enter the following details
- Cohort name
- Meet ALL conditions below by using the plus sign
- Meet ANY conditions below by using the plus sign
Step 6. Once the conditions have been added, select the Save button
Step 7. Once the Cohort has been saved to the list of existing cohorts, the following message will be displayed on the Advanced cohort screen.
Cohort {name of cohort} saved
Step 8. Users will automatically be added and removed from the Advanced Cohort based on the settings in Step 6 once the scheduled tasks have run.
Step 9. On the Advanced Cohort screen will be displayed a list of cohorts and next to each cohort the administrator is able to do the following.
- Edit
- Delete
- Activate/Deactivate
Edit
Selecting the Edit link allows the administrator to perform the following functions
- Rename a cohort from the original name to a new name
- Add or delete a set of conditions that must be met to be added to the advanced cohort. These include:
* Meet ALL conditions below
* Meet ANY conditions below

Selecting the Delete link allows the administrator to delete a cohort but will ask for confirmation.
Once the Cohort has been Confirmed for deletion, the following message will be displayed on the Advanced cohort screen.
Cohort {name of cohort} deleted
Deactivate
Selecting the Deactivate link allows the administrator to effectively hide the cohort from within Learnbook so that it can not be selected without deleting the cohort.
Once the cohort has been deactivated, the Deactivate link will be replaced with an Activate link.
Once the Cohort has been deactivated, the following message will be displayed on the Advanced cohort screen.
Advanced cohort Department A deactivated, users will not get updated in the scheduled task for this cohort.
Step 10. To check the users in the Advanced Cohort select Site Administration
Step 11. Select the Users tab
Step 12. Scroll down the page and select the link Cohort viewer
Step 13. Select the cohort from the dropdown menu and select the Submit button to view the cohorts in from the Advanced cohort group.
Step 14 Selecting the User profile link will display information for that user.
